Concilio is a group scheduling tool operated by Sita Carolina trading as ourconcilio.app (ABN: 99 246 620 165). We provide a free service that allows people to create and share availability polls without requiring an account. Contact: hello@ourconcilio.app

Where users of Concilio are located in the European Union or United Kingdom, we act as the data controller for personal data collected through the service. Supabase, Vercel, and Resend act as data processors on our behalf.

Poll creators

If you create a poll, we collect:

• Email address (optional) — only if you request your poll links or admin recovery links to be emailed to you
• Marketing consent preference — a record of whether you opted in or out of product updates
• Poll content — the title, description, and time slots you enter

No account is created and no name is required.

Poll respondents

If you respond to a poll, we collect:

• Display name — required to submit your availability. This is not verified and can be any name you choose
• Availability selections — your response to each time slot

No email address or account is required.

Automatically collected data

We do not explicitly collect IP addresses. Our hosting and infrastructure providers (Vercel and Supabase) may log IP addresses and technical metadata as part of normal server operations. Please refer to their respective privacy policies for details.

We use the data we collect to:

• Deliver and display poll results to creators and respondents
• Send poll links or admin recovery emails when requested
• Send product updates and news to creators who have opted in
• Maintain and improve the Concilio service

We do not sell your data. We do not use your data for advertising.

We use the following third-party services to operate Concilio. Each acts as a data processor on our behalf:

• Supabase (supabase.com) — database hosting, servers located in Singapore
• Vercel (vercel.com) — application hosting and delivery
• Resend (resend.com) — transactional email delivery

Concilio is operated from Australia and available globally. Your data may be stored or processed in Australia or Singapore (via Supabase). For users in the EU or UK, transfers to third countries are covered by appropriate safeguards including Standard Contractual Clauses (SCCs) as required under GDPR. Resend is additionally certified under the EU-US Data Privacy Framework.

• Poll data (including respondent display names and availability selections) is automatically deleted 60 days after the poll is created
• If a poll is closed by the organiser, it is deleted 30 days after the closing date, with a maximum of 60 days from creation
• Email addresses collected for marketing are retained until you request deletion

EU and UK users (GDPR):

• Right to data portability
• Right to restrict processing
